Reporting to: Business Manager
Responsible for: 3 x Administration/Reception Staff
Hours: 36 per week, 52 weeks per year
Role Overview The Office Manager is responsible for overseeing the daily administrative operations of the organisation, including the line management of administrative and reception staff. This role ensures the effective delivery of all administrative and organisational processes, maintaining confidentiality and professionalism at all times. The Office Manager also supports the Business Manager in the planning and development of support services.
Key Responsibilities Safeguarding and Compliance
- Be committed to safeguarding and promoting the welfare of children and young people.
- Comply with policies and procedures relating to child protection, health and safety, security, confidentiality, data protection, and equal opportunities.
- Report all concerns to the appropriate person and take action to minimise risks to health, safety, and security within the working environment.
Team and Office Management
- Develop and lead an office team that meets the operational needs of the organisation.
- Ensure staff provide a professional and welcoming reception for all visitors and parents.
- Oversee visitor management processes, including safeguarding and health and safety checks.
- Line manage, support, and appraise administrative staff to ensure efficient performance and professional standards.
- Promote a positive image of the organisation to all stakeholders, both internally and externally.
Organisation and Operations
- Supervise day-to-day administrative functions and workflows.
- Contribute to the planning, development, and implementation of support service systems, procedures, and policies.
- Manage, train, and develop administrative staff as appropriate.
- Assist in the organisation of trips and events, ensuring all required risk assessments are completed.
Administration
- Develop and manage manual and electronic record systems (including use of MIS software).
- Maintain and update operational systems in line with IT developments.
- Prepare and submit required data returns (e.g., census).
- Support timetabling, staff rotas, and student data management as directed by senior staff.
- Analyse and evaluate information to produce accurate reports and summaries.
- Ensure correspondence and administrative documents are prioritised and distributed in a timely manner.
- Manage administrative processes for student admissions and recruitment, including documentation, background checks, and clearances.
- Maintain accurate training records for all staff and manage access to internal online training systems.
- Provide administrative and organisational support to senior staff to ensure smooth daily operations.
- Maintain confidentiality and compliance with data protection legislation at all times.
- Take minutes at meetings as required.
Resources and Finance
- Oversee the use of office equipment and IT systems, including the organisation’s MIS and other software tools.
- Provide guidance to staff and students on administrative systems and events.
- Support marketing and promotional activities as required.
- Manage office expenditure within an agreed budget.
- Maintain records of licenses and insurances in collaboration with the Business Manager.
- Ensure the office environment is tidy, organised, and well-stocked.
- Monitor team performance with regard to attendance, punctuality, and productivity.
Confidentiality
- Maintain a thorough understanding of the confidential nature of the role and ensure discretion in all aspects of work.
Performance and Development
- Participate in training, development, and performance appraisal processes.
- Contribute to a culture of continuous improvement across all administrative functions.
- The post holder may be required to perform other reasonable duties within the scope of the role, as directed by the line manager or senior leadership.
- About you:
- Experience working within a school environment
- Must have experience using SIMS, Arbor, BROMCOM or similar
- A valid DBS on the DBS update service
